Laboratory Coordinator - NR 5

Purpose:

Oversees the day-to-day technical and administrative operations of a laboratory, including conducting some of the scientific activities and experimentation of the laboratory, ensuring the safe and proper use, care, calibration and maintenance of the laboratory’s equipment and other scientific resources such as databases, animal colonies, sample collection, etc,). Administers the laboratory’s day-to-day operations including inventory maintenance, ordering of supplies, tracking expenditures against project budgets, and assisting with administration of laboratory personnel.

Typical tasks and duties:

Laboratory and Operations Management

  • Manages and oversees the daily operations and finances of a laboratory or technical operation for a department, including responsibility for budget, purchasing, inventory, maintenance of financial reports, and administration of staff.
  • Ensures the safe and proper use of laboratory’s equipment.
  • Ensures appropriate maintenance and calibration of laboratory equipment.

Financial Operations

  • Tracks expenditures against project budgets.
  • Advises Principal Investigator of significant budget deviations.
  • Attributes to research grant and contract accounts, with appropriate documentation and justification as may be required.

Personnel supervision

  • Supervises operational activities of staff and students working in the laboratory.
  • Provides guidance and expert advice to staff and students on technical issues, safety procedures and regulatory compliance matters within the laboratory. Monitors operations to ensure compliance.
  • Instructs and demonstrates analysis techniques and procedures to laboratory staff and students.
  • Ensures that new students or employees are familiar with laboratory operational requirements.

Scientific Operations

  • Performs background research and literature searches as needed, evaluates results and formulates recommendations as needed. Researches and determines the applicability of new technology and systems related to work.
  • Develops new, or modifies existing specialized techniques, test procedures and standards under general direction from senior professional staff. Monitors safety and provides guidance on safe use of equipment.
  • Researches, designs and analyzes the results of novel experiments. Selects and uses appropriate procedures, equipment and standards to produce required data; assists in analysis and interpretation.
  • Sets up, tests, and calibrates testing equipment.
  • Assists professional staff in diagnosing causes of system, equipment or material failures. Identifies possible solutions to problems.
  • Ensures that all data and analytical results are maintained in a satisfactory manner.
  • Works with internal and external partners to ensure effective implementation of joint experimental programs in support of collaborative research projects.

Regulatory Management

  • Ensures that security and safety protocols regarding Occupational Health and Safety codes are followed.
  • Ensures adherence to all applicable regulatory requirements, including those applying to human and animal subjects, hazardous materials, radiation, controlled goods, etc, all technical and operational staff, students and authorized equipment users.

Other

  • As assigned and under the direction of the Principal Investigator, conducts independent research activities in support of laboratory operational requirements.
  • Any other related duties required by the research projects or management of the research laboratory or analytical facility.

Knowledge, skills, education and experience:

  • M.Sc. in a relevant discipline and three to five years of relevant experience, or an equivalent combination of experience and educational qualifications.
  • Experience in research and /or laboratory operations.
  • Ability to work safely with reagents, hazardous and biohazardous materials.
  • Excellent technical skills, analytical ability, judgment with a strong operational focus.
  • Demonstrated organizational and prioritization skills.
  • Excellent communications skills.
  • Excellent interpersonal, technical, scientific and communications skills (written/oral).
  • Advanced written and verbal skills in English or French. Bilingualism, spoken and written, is preferred.

Laboratory Manager - NR 8

Purpose:

Manages the scientific and operational aspects of a research laboratory or specialized facility providing analytical, equipment access or advisory services to a range of internal and external clients. In addition to overseeing laboratory operations, the incumbent is responsible for planning the deployment of the laboratories human, technical and support resources as needed to ensure that the objectives of the research projects comprising the laboratories broader program can be met, including ensuring the availability of well-maintained and operationally ready equipment when needed.

Typical tasks and duties:

Laboratory and Operations Management

  • Oversees the planning and scheduling of laboratory activities, including the setting up and running of planned experiments and ensuring that experiments are appropriately supervised and supported.
  • Responsible for maintaining quality data collection, data entry and analysis and oversees the operation of the laboratory’s physical and information systems for research data collection, analysis, maintenance and storage.
  • Oversees the operation, maintenance, and management of the laboratory’s research equipment.

Financial Operations

  • Tracks expenditures against project budgets.
  • Assures that all laboratory financial operations comply with university and sponsor requirements.
  • Minimizes the risk of financial losses by integrating and synthesizing financial data from different projects, verifying that expenses have been correctly charged to different projects in compliance with differing sponsor requirements, making corrections as necessary, and assuring that all expenses are correctly charged to each project.

Personnel supervision and management

  • Ensures that personnel are competent to perform analytical procedures, and record and to report test results promptly and accurately.
  • Supervises activities of staff and students working in the laboratory. Supervises orientation and training of new project staff.
  • Provides expert training and advice to staff, students, Research Associates and PostDoctoral Fellows on all operational, technical, safety and regulatory compliance matters within the laboratory.
  • Monitors operations to ensure compliance and ensures that all non-compliant activities are stopped until compliance is assured.
  • Evaluates performance of research staff, assistants, students and volunteers.

Scientific Operations and Management

  • Ensures that results are recorded, analyzed and disseminated in a timely fashion. Assists with the preparation of research publications and presentations.
  • Ensures that appropriate quality control and quality assurance procedures are established and maintained to assure the quality of laboratory operations and to identify problems as they occur.
  • Identifies and troubleshoots research questions or problems which affect the conduct of the project and/or the participation of research subjects and providing leadership in resolving the situation.
  • Prepares key documents including ethics applications, manuscripts for publication, project reports, abstracts, scientific posters and presentations, etc.
  • Participates in identifying and applying for additional funding.
  • Liaises with project partners, network participants, sponsors, government and external agencies etc. on behalf of the laboratory.
  • Conducts experiments requiring advanced scientific methodologies or use of highly sophisticated equipment.

Regulatory Management

  • Ensures awareness of and adherence to all applicable regulatory requirements by all technical and operational staff, students and authorized equipment users, including regulations applying to human and animal subjects, hazardous materials, radiation, controlled goods, etc.

 Other

  • As assigned and under the direction of the Principal Investigator, independently conducts more complex research activities in support of short and long term laboratory operational requirements.
  • Establishes and maintains lines of communication with internal and external customers in order to assure high quality client interaction and service.
  • Any other related duties required by the research projects or management of the research laboratory or analytical facility.

  • M.Sc. in a relevant discipline and three to five years of relevant experience, or an equivalent combination of experience and educational qualifications.
  • Three to five years progressive experience in management and supervision of research and /or laboratory operations.
  • Knowledge of policies and procedures and regulations regarding laboratory operations.
  • Knowledge of supervisory principles and practices.
  • Demonstrated leadership, self-directed and rational problem solving skills.
  • Ability to effectively delegate authority.
  • Excellent communications skills.

Senior Laboratory Manager - NMR1

Purpose:

Manages, supervises and controls all scientific, financial and operational aspects of major laboratory conducting multiple concurrent research projects or of a specialized facility providing analytical, equipment access or advisory services to a range of internal and external clients. The incumbent ensures that these laboratories and facilities operate effectively and efficiently as a state-of-the- art, internationally recognized, research and analytical facilities.

Typical tasks and duties:

Leadership

  • Oversees the overall operation and administration of a major laboratory conducting multiple concurrent research projects or of a specialized facility providing analytical, equipment access or advisory services to a range of internal and external clients.
  • Creates and implements all strategies, policies, procedures and best practices needed to support the optimal performance of a laboratory or facility.
  • Plans, develops, organizes, implements, and directs the organization's laboratory or facility operations and evaluates performance.

Laboratory and Operations Management

  • Manages, administers and implements all research grants and contracts being conducted within the laboratory or facility.
  • Oversees the operation of the laboratory or facility’s equipment.
  • Establishes operations standards for cost control, waste reduction, quality, safety, and on-time performance of research or analytical deliverables.
  • Collects, maintains, and manages statistics on equipment utilization to facilitate the most time-efficient, productive and fair use of the laboratory’s equipment. Advises Principal Investigator of developing trends and emerging needs.
  • Oversees the operation of the laboratory’s transaction processing (accepting, tracking and billing orders), equipment scheduling, financial / accounting and inventory control systems.

Financial Management

  • Manages the laboratory’s budget, including collection of user fees.
  • Ensures that expenditures are properly attributed to research grant and contract accounts, with appropriate documentation and justification as may be required.
  • Participates in the development and implementation of operational budgets to ensure that salaries, equipment maintenance, repairs and upgrades, etc. requirements are met.
  • Assists in the preparation of internal and external funding proposals to ensure appropriate cost recovery and revenues.
  • Participates in detailed cost analyses to ensure fair and competitive prices to users.

Personnel Management

  • Manages laboratory personnel and authorized equipment users to optimize equipment utilization while assuring timely completion of deliverables.
  • Interviews, hires, trains, and supervises laboratory personnel.
  • Ensures that personnel are competent to perform analytical procedures, and record and to report test results promptly and accurately.
  • Promotes collaboration and teamwork.

Scientific Management

  • Performs sophisticated, specialized, non-routine, quantitative and qualitative analyses for clients, laboratory staff and students.
  • Provides expert advice to users (professors, post-docs and students) on their respective projects re: proper sampling, analytical, instrumental, calibration and method limitations to obtain the best data possible.
  • Supervises, instructs and demonstrates analysis techniques to laboratory staff.
  • Develops novel tests and methods, and ensures that these provide high quality laboratory services for all aspects of test performance, including the pre-analytic, sample preparation, analytic, and post-analytic phases of testing.
  • Formulates, plans and develops innovations to increase the efficiency, productivity, accessibility and adaptability of the laboratory and its instrumentation including the development of new analytical capabilities relating to the varied research needs of the scientific community.
  • Ensures that analytical protocols are properly implemented and executed by laboratory staff, students and authorized users. Implements quality control and quality assurance programs as necessary.
  • Ensures that all data and analytical results are maintained in a satisfactory manner.
  • Resolves problems by consulting with peers, Principal Investigators and others in the broader scientific community.

Infrastructure Management

  • Oversees or executes installations, maintenance, diagnosis, repairs and modifications to the laboratory or facility equipment to assure high quality, cost-effective service.
  • Procures all supporting equipment, parts and services required for the efficient and effective operation of the Facility as a state-of-the-art research and educational service.
  • Oversees the laboratory’s or facility’s computational and information resources, to assure current instrumentation software operate on trouble-free secured computers and provide lab personnel with a protected and secured database for data manipulation and storage.
  • Ensures that the physical plant and environment conditions of the laboratory are appropriate for the equipment portfolio and testing performed.
  • Maintains data and reports on physical condition and equipment inventory of the facility.

Regulatory Management

  • Establishes and enforces security and safety protocols regarding Occupational Health and Safety codes to provide a safe and pleasant work environment.
  • Ensures adherence to all applicable regulatory requirements, including those applying to human and animal subjects, hazardous materials, radiation, controlled goods, etc., all technical and operational staff, students and authorized equipment users.

Customer Service and Stakeholder Liaison

  • Ensures highest quality research and analytical service standards thereby assuring client satisfaction.
  • Establishes and maintains lines of communication with internal and external customers in order to assure high quality client interaction and service.
  • Works collaboratively with scientists on projects that lead to journal publications, presentations at professional meetings, and reports that influence project progression.
  • Promotes the University of Ottawa and the laboratory / facility inside and outside the University through training courses, talks, conferences, and the Lab brochure and website to attract new users/projects at the University and international levels.
  • Solicits business from external users to generate revenue for the Facility.

Other

  • Keeps abreast of all modern analytical techniques by reading the current literature, participating in related scientific conferences, meetings and workshops as a representative of the University of Ottawa. This knowledge is to be transmitted to the Facility users and used to implement novel techniques within the laboratory / facility in order to maintain a state-of-the-art Facility and solve demanding research problems.
  • Any other related duties required by the research projects or management of the research laboratory or analytical facility.

Knowledge, skills, education and experience:

  • Ph.D. in a relevant discipline and at least five to seven years of practical experience as a senior researcher.
  • Extensive experience in research and /or analytical laboratory management.
  • Comprehensive knowledge of the physical principles governing the laboratory’s collection of analytical instrumentation.
  • Deep familiarity with relevant analytical methodology and research instrumentation, including methodological development and validation. Extensive experience in handling highly sophisticated analytical instrumentation.
  • Excellent technical skills, analytical ability, judgment with a strong operational focus.
  • Demonstrated organizational skills.
  • Excellent communications skills.
  • Excellent interpersonal, technical, scientific and communications skills (written/oral).
  • Ability to manage teams and people.
  • Advanced written and verbal skills in English or French. Bilingualism, spoken and written, is preferred.
